Automated Reminders in Zugata

 

Here's a brief guide for the kinds of email reminders Zugata sends. These are meant to pull employees back into the application when necessary to complete Continuous Feedback, Manager Requested Feedback, Self Reflections and Employee Evaluations.

Continuous Feedback

We send out emails up to once a week to remind employees to give or request feedback. This will happen less if employees are already actively giving feedback, or not at all if the Admin of the company has chosen to turn these reminders off.

Manager Requested Feedback

Manager Requested Feedback reminder emails go out once a week for a month, however they can be completed or dismissed at any time. To dismiss this sort of feedback, click the link in the email and dismiss specific requests underneath the person's profile picture:

 

Self Reflections and Employee Evaluations

When a cycle begins, we don't send out a notification. As the deadline nears, we send reminders 7 days, 3 days, 2 days and 1 day before the due date, if employees have not completed these cycles. If the Admin changes the due date, these reminders will reset for the new due date.

Specifically for employee evaluations, if managers change, new managers will be notified by email that new direct reports have been added to their cycles. Additionally, when an Admin enables sharing of evaluations, managers will receive an in-app notification (no email) to take action.
